New: How to view a Sales Report

This guide walks you through the process of exporting your machine's transaction data from the VapeTM portal, saving it as an Excel file, uploading it to Google Drive, and calculating your total sales revenue using Google Sheets

Step 1 β€” Log In to the Admin Portal

1.1 Open your browser and navigate to https://vapetm.vapevendingsoftware.com.

1.2 Enter your login credentials to access your dashboard.


Step 2 β€” Open Real Time Transactions

2.1 From the left-hand navigation menu, click on "Sales"

2.2 Select "Real Time Transactions" (indicated by the πŸ”΄ red arrow in Screenshot below).

2.3 This page displays all recent machine transactions across your account.

Step 3 β€” Select a Date Range

3.1 At the top of the page, use the Start Date and End Date fields to set your desired reporting period (as shown in Screenshot above).

3.2 This allows you to view transactions for a specific day, week, or month.


Step 4 β€” Apply Filters

4.1 Use the available filter fields to refine your report results (indicated by the πŸ”΅ blue arrows in Screenshot above):

β€’ Account β€” Enter your account identifier (e.g., boxnow) β€’ Machine Number β€” Enter your machine name (e.g., 1899 Pub) β€’ Product Name β€” Filter by a specific product if needed β€’ Order Status β€” Filter by Delivered, Canceled, or Expired orders

4.2 Once your filters are set, click the "Search" button to load the filtered results.


Step 5 β€” View and Analyze the Data

5.1 The results table will display key transaction information, including:

β€’ Transaction Date & Time β€’ Product Name β€’ Cost Price & Retail Price β€’ Actual Price Charged β€’ Order Status (Delivered / Canceled / Expired) β€’ Slot Number

5.2 Review this data directly on screen or scroll horizontally to view additional columns.

5.3 Use the pagination controls at the bottom of the table to navigate through multiple pages of results.


Step 6 β€” Export the Report

6.1 Once satisfied with your filtered results, click the "Export" button located at the top-left of the results table.

6.2 A "Remind" confirmation pop-up will appear (as shown in Screenshot 2). Review the message and click "Confirm" to proceed.

Step 7 β€” Save the Excel File

7.1 A Save dialog will appear on your screen (as shown in Screenshot 3).

7.2 Choose a destination folder on your computer (e.g., Downloads or a dedicated Sales folder).

7.3 The file will be pre-named "Order+list" and saved as a Microsoft Excel Worksheet (.xlsx). Rename it to something descriptive before saving (e.g., 1899 Pub – Apr 2026) for easier reference later.

7.4 Click "Save" to download the file to your computer.

Step 8 β€” Upload to Google Drive

8.1 Open your Google Drive account at drive.google.com.

8.2 Navigate to your designated folder (e.g., Sales β†’ Sales Reports).

8.3 Upload the saved Excel file by either:

β€’ Dragging and dropping the file directly into the folder, or β€’ Clicking "+ New" β†’ "File upload" and selecting your file

8.4 A "1 upload complete" confirmation will appear in the bottom-right corner (as shown in Screenshot 4) once the upload is successful.

Step 9 β€” Calculate Total Sales in Google Sheets

9.1 Open the uploaded file in Google Sheets by double-clicking it in Google Drive.

9.2 Scroll right to locate Column M β€” "Actual Payment Price". This column contains the final charged amount for each transaction.

Option A β€” Quick Sum (Best for a fast on-screen check)

9.3 Click on the first value in Column M (cell M3) and drag down to select all values in the column.

9.4 The total will automatically appear in the bottom-right status bar as "Sum: 1000.94" (indicated by the πŸ”΄ red arrow in Screenshot below) β€” no formula needed.

Option B β€” SUM Formula (Best for a permanent, reusable total)

9.5 Click on an empty cell below the last row of data in Column M (e.g., cell M46).

9.6 Type the following formula and press Enter (as indicated by the πŸ”΄ red arrow in Screenshot below):

=SUM(M2:M45)

9.7 The formula will calculate and display your total sales amount β€” $1,000.94 in this example.

⚠️ Important Notes

Adjust the SUM range as needed depending on how many rows your export contains. For example, if your data goes to row 60, use =SUM(M2:M60).

File Naming Tip: Always rename your export to include the machine name/number and date range (e.g., 1899 Pub – Apr 2026) before uploading to Google Drive for easy tracking and record-keeping.

Canceled & Expired Orders: The export includes all order statuses β€” Delivered, Canceled, and Expired. For accurate revenue reporting, consider calculating totals for Delivered orders only.

Need a Physical Copy? You can also print the report directly from Google Sheets if a hard copy is needed for accounting or business review.
