We've redesigned the advertising section from the ground up based on operator feedback. Ads are faster to upload, faster to assign, and you can now skip ad groups entirely when you just need to get one campaign onto a few machines.
This guide walks through the full workflow — uploading ads, the two ways to assign them (Quick Assign and Ad Groups), activating ads on a machine, monitoring what's live, and how Network Ads from VapeTM brand partners work.
Step 1: Log In to the Admin Portal
2. Enter your login credentials:
• Username: Sent via email (all lowercase)
• Password: Case-sensitive
Step 2: Upload an Ad to Your Gallery
1. Navigate to the AD Gallery tab at the top of the Advertising section
2. Click the Upload Media button (top left)
3. In the Upload New Ad dialog:
• Drag and drop your media file into the upload area, or click Browse Files to select from your computer
• Supported formats: JPG, PNG, MP4, WebM (both images and videos are supported)
• Enter a Title for the ad (e.g., "Summer Promo Banner")
• Enter the Company name (optional)
• Choose the Placement Type:
• Screen — for full-screen welcome/screensaver ads (1920 × 1080 pixels)
• Banner — for top banner ads (1080 × 441 pixels)
4. Click Upload
Your ad will appear in the AD Gallery as a thumbnail card — including a preview frame for video ads — with a Screen or Banner badge so you can quickly identify the placement type.
Tip: Use the filter buttons (All, Screen, Banner) and the Search bar at the top of the gallery to find ads quickly.
Step 3: Assign Your Ads — Choose Your Path
There are now two ways to get ads onto your machines. Pick the one that matches the campaign:
• Quick Assign — fastest. Select ads in the gallery, set dates, pick machines, done. Best for one-off campaigns, testing, or pushing a single promo to a few machines.
• Ad Groups — best for reusable campaigns, precise playback ordering, or rolling out the same package of ads to many machines repeatedly.
Option A: Quick Assign (Recommended for Simple Campaigns)
Use Quick Assign when you want to push a specific set of ads to specific machines without creating an ad group first.
1. In the AD Gallery, check the box on each ad you want to assign. You can select any mix of screen and banner ads.
2. Click the Assign button that appears at the top of the gallery.
3. In the Assign dialog:
• Set the Start Date and End Date for when these ads should run
• Choose the assignment target:
— Machine Group: pick an existing machine group to push to all its machines
— Individual Machines: pick one or more specific machines by name
4. Click Assign. The selected ads will start running on those machines during the dates you set.
Tip: Quick Assign is the fastest way to get ads live, but if you want to control the exact playback sequence or manage a recurring campaign, use Ad Groups below.
Option B: Use an Ad Group (For Reusable Campaigns)
Ad groups let you bundle a set of ads together with a defined playback order, then assign that bundle to machines. They're useful when you'll reuse the same package across changing machine lists or want precise control over ad rotation.
Create an Ad Group
1. Click the AD Group tab at the top
2. Click + Add
3. Enter a Group Name
4. Notes are optional
5. Click Confirm
Your new group will appear in the list with Assign, Ads Configuration, and Delete buttons.
Configure Ads for the Group
1. In the AD Group list, click the Ads Configuration button next to your group
2. The Ads Configuration panel opens with two tabs: Screen Ads and Banner Ads (each showing a count of assigned ads)
3. To add ads:
• Click + Add Screen Ads or + Add Banner Ads depending on the ad type
• Or click the Add from gallery link to pick ads you've already uploaded
4. Once ads are added, you can:
• Drag to reorder — grab the drag handle (⠿) next to any ad to change the playback sequence
• Set start and end dates — use the inline date fields next to each ad to control when it runs
• Remove an ad — click the trash icon to delete it from the group
5. Toggle between the Screen Ads and Banner Ads tabs to manage each type separately
6. Click Save Configuration when done
Assign Machines to Your Ad Group
1. In the AD Group list, click the Assign button next to your group
2. The Edit Ad Group panel opens with an Assign Machines section and two tabs:
• Individual Machines — all your machines listed by name and device ID. Check the boxes next to the machines you want. Use the search bar to find specific machines.
• Machine Groups — your existing machine groups with machine counts. Check a group to assign all its machines at once.
3. Select one or more machines and/or groups
4. Click Save Changes
Tip: You can mix and match — pick a few individual machines and a machine group in the same assignment. You do not need to create a machine group first.
Step 4: Activate the Advertisement on the Machine
Assigning ads is only half the job — each machine also needs the right switches turned on for the ads to display.
1. Go to: User Machines > Machine List
2. Locate your machine
3. Make sure the following switches are ON:
• Screen Saver Ad Switch (for welcome screens)
• Top Advertisement Switch (for banner ads)
4. If using multiple banners:
• Set the switch to Yes
• Choose how many seconds each banner displays (e.g., 4–6 seconds)
5. Click Confirm
Monitor What's Running with Active Ads
The Active Ads tab gives you a single fleet-wide view of every machine currently running ads.
For each machine in the list you'll see:
• Machine name, machine number, and machine group
• Total ad count currently playing on that machine
• A breakdown of your ads (ones you've assigned) vs. Network Ads (brand-partner ads pushed by VapeTM — see next section)
Click View on any machine to see the full list of ads playing on it, including each ad's type (Screen or Banner) and whether it came from you or the VapeTM network.
From the machine detail view, you can quickly remove an individual ad from that machine without having to edit the ad group or quick-assignment — useful for one-off fixes.
Tip: Use the search bar to filter by machine number, name, or group. The search is the fastest way to audit what's playing on a specific location.
Network Ads: Brand Partnership Ads from VapeTM
What are Network Ads?
Network Ads are advertisements created and managed by VapeTM through our brand partnership program. We push them to operator machines on our end, and they display alongside the ads you've assigned yourself.
Why does this matter to you as an operator?
Network Ads are part of VapeTM's push to unlock additional revenue for operators through brand partnerships. As the program grows, well-placed machines can earn from ads you didn't have to source, create, or sell — we handle the partnership, you host the placement.
How are Network Ads distributed?
Network Ads are targeted based on the location information of each machine. VapeTM may push a given brand ad to all machines on the network, or to a subset based on geography or other location data supplied by the brand partner.
⚠️ Keep your machine location accurate. Because Network Ads are distributed by location, machines with missing or outdated addresses may be skipped and miss out on revenue-generating brand ads. Double-check addresses under User Machines → Machine List → Edit.
Where do I view Network Ads?
Go to the View Network Ads tab in the Advertising section to see which brand ads are currently active or inactive on the network. These ads are managed by VapeTM — you can see what exists on the network here, but you cannot edit Network Ads directly. To see which Network Ads are running on each of your specific machines, use the Active Ads tab.
What's New in This Update
• Quick Assign from the Gallery: Select multiple ads in the AD Gallery, set dates, and push them to individual machines or a machine group in a single step — no ad group required.
• Simplified upload: A clean drag-and-drop upload dialog with a simple Screen/Banner toggle replaces the old form.
• Visual Ad Gallery: Ads display as thumbnail cards with type badges and video previews, plus search and filter options to find ads fast.
• Improved Ads Configuration: A visual panel with Screen Ads and Banner Ads tabs. See thumbnails, drag to reorder playback, set start/end dates inline — all in one place.
• No machine group required: Assign individual machines directly to a quick-assignment or an ad group without creating a machine group first. Machine groups are still available and optional.
• Active Ads view: A new tab showing every machine currently running ads, with a breakdown of your ads vs. Network Ads and per-machine quick-remove.
• Network Ads (new): Brand-partnership ads from VapeTM that play on your machines based on location, with the potential to unlock additional revenue for operators.
• New navigation: The Advertising section has clear tabs — Home, AD Gallery, AD Group, Active Ads, and View Network Ads — so everything is one click away.
Known Issues During Transition
Advertisements created before this update will not display start/end times in the Ads Configuration panel, even though the times are still active behind the scenes. This is a display-only issue that affects older ads. Newly created ads will show start and end times correctly.
Additionally, the Active Ads tab will only display advertisements created after this update — older ads will continue running as configured but won't appear in the Active Ads view.
