1. Log In to the VTM Portal
Open your browser and navigate to VTM vending web portal and enter your login credentials to access your dashboard.
2. Navigate to Notification Configuration
From the left-hand navigation menu, click on System to expand the submenu, then select Notification Configuration.

🔵 Blue box — the Alert Type column, showing Mail (green checkmark) is selected as the active alert delivery method
🟠 Orange box — the Edit Email Alerts button in the Operation column
🟢 Green box — the Edit SMS Alerts button in the Operation column
The Notification Configuration page displays a table with the following columns:
Account — the alert category (e.g., Order, Account)
Alert Name — the specific event that triggers the notification
Recipient — who receives the alert (Admin and Maintenance Accounts)
Alert Enabled — toggle to turn the alert on or off
Alert Type — choose between SMS and/or Mail delivery
Reminder Content — links to edit the SMS or Mail message content
Operation — buttons to edit the Email or SMS alert message
The following alerts are available by default:
Successful Order — notifies you when a transaction is completed successfully
Amount Arrival Information — notifies you when a payment amount is credited to your account
Insufficient Balance to Process Age Verification — notifies you when your wallet balance is too low to run age verification
Low Wallet Balance — < $50 — notifies you when your wallet balance drops below $50
Equipment Offline Half Hour Notification — notifies you when a machine has been offline for 30 minutes or more
To enable an alert, toggle the switch in the Alert Enabled column to the on (green) position. When finished making changes, click Save at the bottom of the page.
3. Edit Email Alert Content
To customize the content of an email alert, click the Edit Email Alerts button (🟠 orange box, Screenshot 1) in the Operation column next to the relevant alert.
The Mail Editing dialog will open and contains the following fields:
Alert Name — displays the name of the alert being edited (read-only, for reference only)
Email Title — the subject line of the alert email sent to recipients. This field is editable
Email Content — the body of the alert email. You can type your own message and insert dynamic variables by clicking on any variable name from the right-hand panel
The following dynamic variables are available to insert into your email content:
【Username】 — the account username
【User Account】 — the account email address
【Order Number】 — the transaction order number
【Order Amount】 — the total amount of the transaction
【Device Name】 — the name of the machine that triggered the alert
【Equipment Lane Number】 — the aisle number involved in the transaction
【Device Number】 — the machine's serial number
【Device Address】 — the physical address of the machine
Click on any variable in the right panel to insert it at the cursor position in your Email Content field. Once your edits are complete, click Confirm to save or Cancel to discard.
4. Edit SMS Alert Content
To customize the content of an SMS alert, click the Edit SMS Alerts button (🟢 green box, Screenshot 1) in the Operation column next to the relevant alert.
The SMS Editing dialog will open and contains the following fields:
Alert Name — displays the name of the alert being edited (read-only, for reference only)
SMS Title — the title of the SMS notification. This field is editable
SMS Content — the body of the SMS message. You can customize this using the available variables from the right-hand panel
The following dynamic variables are available for SMS content:
【Username】 — the account username
【User Account】 — the account email address
【Order Number】 — the transaction order number
【Order Amount】 — the total transaction amount
【Wallet Balance】 — the current wallet balance
Click on any variable in the right panel to insert it at the cursor position in your SMS Content field. Note that SMS messages have a 160 character limit. Once your edits are complete, click Confirm to save or Cancel to discard.
⚠️ Important Notes
✏️ Email alerts are fully editable: You can customize both the title and the full body content of any email alert, including product names and transaction details.
🚫 SMS alerts have content restrictions: Any content related to vape or tobacco products name will be blocked by SMS carriers and will not be delivered. When editing SMS alert content, avoid including product names or vape-related terminology. Use neutral variable placeholders such as 【Device Name/Aisle number】 or 【Order Amount】 instead.
💾 Remember to Save: After enabling or disabling any alerts on the main Notification Configuration page, always click the Save button at the bottom of the table to apply your changes.
